Cataloging AV Materials
|
Now that the staff page is taking posts, here's what Carey and I learned at the MLC Cataloging class we attended in June.
Anytime you find an ellipsis (...) on an item, you need to use two dashes (--) when cataloging.
The chief source of information is whatever is stamped on the disc or cassette. Use this source for the 245/Title field. Treat the actual disc or cassette like the title page in a book. If you think people are likely to look for the item under one or more different titles, add 246/Varying Form of Title fields for each.
After subfield a there will always be a subfield h of either [sound recording] or [videorecording]. These are the only two entries allowed in subfield h.
The 000/Leader field should have g for video, i for audio book, or j for music as the 7th character. a is for all books.
Many AV items do not have an ISBN. Be certain to include the publisher's number in 028/Other Standard Number followed by a ; and subfield b listing the publisher.
Put your initials in 040, subfield d, so we can know who is modifying the record. If you are doing original cataloging, but DDL in subfield a.
The 250 field should state whether the audio book is Abridged or Unabridged and whether the video is Full screen or Widescreen.
When filling in the 260/Publication field, use the location listed first on the chief source of information. If no location listed there, then look on the back of the title page or on the packaging of AV material for the location of the publisher. Use Sine Loco, without place, if you cannot find any clue, i.e. [S.l.].
For the duration after the number of discs or cassettes in the 300/Physical Description field, you can put a total time (in min. or hr. & min.) or a length for each piece (i.e., 60 min. each). Following this, in subfield b, sound recordings will have analog or digital and videorecordings will have sd., col., b&w, b&w with col. sequences, etc. For cassettes, do not fill in subfield c/size information.
When you have an audio book accompanied by a print version of the book, catalog it as if it were a non-musical sound recording (i in the leader) with + followed by a subfield e at the end of the 300/Physical Description field (i.e., 1 book OR 1 book (22p. : ill. ; 12 cm.)).
Always include series information in the 440 or 490/Series fields if it is printed on the item or on the packaging.
The 500/Notes field can contain the nature or medium of performance, subtitles, Closed Captioned, title notes, material notes, series notes, and other formats released in.
In the 505/Contents field you can list all the titles in the set with (i.e., The ant and the grasshopper/Aesop -- Gulliver's travels/Jonathan Swift -- Rip Van Winkle/Washington Irving.) or without (The city mouse and the country mouse -- Saint George and the dragon -- The golden goose.) the author or performer. The 505 field has a period at the end of the entire entry, not at the end of each title.
Include the 511/Performer field with the narrator for an audio book or the major cast members for a video.
The 520/Summary field is REQUIRED for all videos. You can always find one to cut and paste online. 521/Target Audience field can hold ratings or recommended ages.
The 538/System Details field is where you can put Cassette, Compact disc, VHS, DVD, and any other technical information such as surround sound.
You may want to place the 546/Language field ahead of the other 5XX fields. List all the languages available on a DVD if they are listed on the disc or packaging.
586/Awards field is where you should place information on any awards the item received that you want to mention.
Include performers, producers, narrators, and other people you want searchable in 700/Added Personal Name fields.
For TV series, create a separate record for each season. If you split the season up into several cases, each item record will need to identify what part of the series it contains. |
